This Privacy Policy explains how Bpx Developers (“we”, “us”, or “our”) processes personal information and data when you use the Guild Platform community-management platform and related services (collectively, the “Service”).

1. Who Operates Guild Platform

2. Information We Process

We collect and process only the categories of information reasonably necessary to provide community management, event coordination, and guild participation features:

• Discord Account & Server Data: When you authenticate via Discord OAuth, we receive your Discord user ID, username, display name, avatar URL, guild memberships, and guild-specific roles and permissions. If a guild administrator explicitly configures specific Discord channels for synchronization, messages, embeds, and attachments from those designated channels may be processed within that guild’s platform environment.
• Guild Platform Account & Participation Data: Session state, character names and aliases, event registrations, party/role assignments, attendance confirmations, activity points, guild membership status, user preferences (such as locale and timezone), and administrative audit records.
• Michi Vision Data: In-game screenshots voluntarily uploaded by authorized guild officers or members for automated optical data extraction, along with extracted game-visible values (such as character names, guild level, rank, or activity points) and extraction validation status.
• Technical & Operational Data: Timestamps, security and audit logs, HTTP request headers, and IP addresses when required for service availability, fraud prevention, and operational security.

3. Why We Process Information

We process information exclusively for legitimate operational purposes:

• Authenticating your identity and maintaining secure sessions.
• Determining and enforcing guild membership, roles, and administrative access controls.
• Synchronizing scheduled events, announcements, and registrations with configured Discord channels.
• Facilitating raid and event coordination, attendance tracking, and guild activity calculation.
• Fulfilling voluntary automated screenshot extraction requests via Michi Vision.
• Providing user support, diagnosing technical issues, and maintaining system integrity.
• Preventing abuse, fraud, security breaches, and enforcing our Community Guidelines and Terms of Service.
• Complying with applicable legal obligations and statutory requirements.

4. Discord Integration & Protections

Guild Platform integrates with Discord APIs to enable authentication and guild synchronization. In strict compliance with developer terms and privacy best practices:

Guild Platform never requests, receives, or stores your Discord password. You may revoke Guild Platform’s access to your Discord account at any time through your Discord User Settings under Authorized Apps.

5. Michi Vision Processing

Michi Vision is a feature that processes in-game screenshots voluntarily uploaded by authorized guild members to extract supported game statistics and roster data.

• Uploaded images are processed solely to extract structured game data requested by the guild.
• Temporary upload images are retained only for the technical processing lifecycle needed to complete verification.
• Michi Vision is not used for real-world identity verification, biometrics, surveillance, or high-impact decisions.
• Discord message content is never used to train or refine Michi Vision models.

6. Service Providers & Sharing

We do not sell, rent, or trade your personal information. We share data only with third-party service providers necessary to deliver the Service under strict confidentiality and security commitments:

• Cloud Infrastructure (Amazon Web Services): Used for secure cloud hosting, databases, storage, and application runtime under industry-standard security controls.
• Discord Inc.: For user authentication and authorized guild channel communications.
• Game Information Providers (Michi TL Data): For live, public game calendar schedules.

7. Data Retention

We retain personal data only for as long as reasonably necessary to fulfill the purposes described in this Policy, subject to the following guidelines:

• Sessions: Authentication sessions are retained until expiration or user sign-out/revocation.
• Active Account Data: Maintained while your account remains active and in good standing.
• Personal History After Leaving a Guild: Personal history after leaving a guild: generally retained for up to 12 months, subject to deletion/anonymization and legal/security exceptions.
• Temporary Michi Vision Uploads: Retained only for the technical lifecycle required for verification and extraction.
• Operational & Security Logs: Retained for a limited operational and security period to protect service integrity.
• Structured Guild History: Maintained while reasonably necessary for historical guild statistics, subject to anonymization where appropriate.
• Legal & Security Records: Retained as reasonably necessary to comply with legal obligations, dispute resolution, or investigation of abuse incidents.

After the applicable retention period has lapsed, data is deleted or de-identified where reasonably practical.

8. User Rights & Data Choices

Depending on your location (including the European Union, United Kingdom, and various US states), you may have statutory rights regarding your personal information, including:

• Access: The right to request confirmation of whether we process your data and obtain a copy.
• Correction: The right to request correction of inaccurate or incomplete personal information.
• Deletion: The right to request erasure of your personal information, subject to legal exceptions.

10. Children’s Privacy

Guild Platform is designed for gaming communities and is not intended for or directed to children under 13 years of age.Minimum age is 13, subject to any higher minimum age required by applicable law in your jurisdiction (such as 16 in certain European jurisdictions). We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal data, we will take immediate steps to delete it.

11. Security

We employ commercially reasonable technical and organizational measures designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include TLS encryption in transit, strict role-based access controls, principle of least privilege, and continuous operational logging. However, no internet transmission or electronic storage system can be guaranteed to be 100% secure.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect operational, legal, or regulatory changes. When updates occur, we will revise the “Last updated” date at the top of this document. For material changes, we will provide advance notice through the Service or other appropriate communication channels.
